ADVANCE NOTICE OF EGM FOR APPROVAL FOR UNIT 38 RENOVATIONS VOTING BY EMAIL OR MAIL

Shortly owners will receive by mail from Strata Manager BCS, notification, Agenda and background documents for an EGM scheduled for February 19th.

Due to changes in strata law, we will experience a more frequent requirement for this type of EGM. For the convenience of owners, and to mitigate the demands this makes on our time and costs, we have established electronic voting by email via The Pines’ web site. For this EGM, there will also be an option to mail your vote (page 10 of the Agenda) using regular post.

This will be a ‘VIRTUAL’ meeting: NO physical presence is required at either the Pines, or BCS’ Chatswood office

For privacy and security purposes,  the e-vote ballot is password protected. The password will be printed at the top of your Agenda papers which will come in the mail.

The mailed instructions from BCS  for participating in the vote may initially appear to be confusing. The purpose of this communication is to clarify the email procedure.

We are required to have your authority to contact you by email so that your e-vote is valid. Please note that this authority is for Pines’ Executive Committee only, to protect you from unwanted communications.

ACTION:

  1. Enter www.pinesmanly.com in your browser.
  2. Click on ‘Voting’ at far right of top toolbar.
  3. Read preamble and click onto ‘Email Notification Authority’ and complete and submit form.
  4. Go to right of screen and click on ‘EGM Electronic Voting Ballot Paper’ and complete and submit form. [Motion attachments are provided for your convenience.]
  5. If required, go to right of screen and click on ‘Proxy Appointment Form’ and complete and submit form.
